Terms and Conditions

1. Introduction

These Terms & Conditions govern the use of Fireflow Studios, including attendance at classes, memberships, class passes, workshops, events and use of the studio facilities. By purchasing a membership or class pass, or by attending any session, you agree to be bound by these Terms & Conditions.

2. Memberships & Class Passes

Memberships and Class Passes are personal, non-transferable and may not be shared with another person.

Fireflow Studios offers the following membership options:

• Unlimited Monthly (12-Month Commitment): Paid monthly by Direct Debit with a minimum 12-month commitment.
• Unlimited Monthly Flex: Paid monthly by Direct Debit with no minimum term. Cancel at any time in accordance with the Cancellation Policy.
• Unlimited Annual: Paid in full for 12 months in advance. Non-refundable.
• Specialist Memberships: Paid monthly by Direct Debit with a minimum 6-month commitment.

Membership benefits, access times and inclusions are determined by the membership purchased.

Class Passes are valid for the period stated at the time of purchase and must be used within the allocated validity period. Any unused classes remaining after the expiry date will be forfeited and are non-refundable.

3. Age Restrictions

Members must be at least 16 years old to hold a membership or attend classes independently. Members under the age of 18 must have the consent of a parent or legal guardian. Certain classes or services may have higher minimum age requirements.

4. Payments

Membership fees are collected by recurring Direct Debit or another approved recurring payment method.

Payments must be made on time. Failure to maintain payments may result in suspension or termination of membership. Outstanding balances must be settled before further bookings can be made.

5. Membership Freezes

Eligible memberships may be frozen in accordance with the membership purchased:

• Unlimited Memberships: Up to two freezes per calendar year.
• Specialist Memberships: One freeze per calendar year.
• Student Memberships: Up to three freezes per calendar year.

Freeze requests must be submitted before the next billing date. Minimum and maximum freeze periods apply and are detailed within the terms of each membership.

6. Guest Passes

Unlimited Memberships include one guest pass per calendar month.

Unused guest passes cannot be carried forward and have no cash value.

Guest passes are subject to class availability and may only be used by first-time visitors to Fireflow Studios unless otherwise stated. Fireflow Studios reserves the right to amend, withdraw or refuse guest passes at its discretion.

7. Class Bookings

All classes must be booked in advance using the Fireflow Studios website or mobile app.

Places are allocated on a first-come, first-served basis. Members are responsible for booking the correct class and arriving on time.

8. Waitlists

If a class is full, members may join the waitlist.

Should a space become available, members will automatically be added to the class and notified through the booking system.

Once a booking has been confirmed, the normal cancellation policy applies.

9. Cancellation Policy

Classes may be cancelled up to the time permitted under your membership or class pass.

Late cancellations and no-shows may result in a fee, deduction from a class pass or temporary booking restrictions.

Fireflow Studios reserves the right to amend cancellation periods where reasonably necessary.

10. Late Arrival

For the safety and enjoyment of all participants, entry may be refused once a class has started.

No refunds or credits will be issued for late arrivals.

11. Health & Safety

Members confirm they are physically able to participate in classes.

A Physical Activity Readiness Questionnaire (PAR-Q) must be completed before attending your first class. Members are responsible for ensuring the information provided is accurate and for notifying Fireflow Studios of any changes to their health, medical conditions, injuries or pregnancy.

Any relevant medical conditions, injuries or pregnancy should also be disclosed to the instructor before each class.

If you are unsure whether exercise is appropriate for you, you should seek advice from a qualified medical professional before participating.

Participation in all classes and use of the facilities is entirely at your own risk.

12. Illness

Members should not attend classes if they are experiencing symptoms of a contagious illness. Fireflow Studios reserves the right to refuse entry where attendance may pose a risk to others.

13. Heated Classes

Fireflow's Fire classes are heated to approximately 34°C.

Members should arrive well hydrated, continue to hydrate after class and listen to their body at all times. If you feel unwell during a class, you should leave the studio immediately and inform the instructor.

Participation in heated classes is voluntary. If you are unsure whether heated exercise is suitable for you, please seek medical advice before attending.

14. Reformer Pilates

Before attending any screen-led Reformer Pilates class, all members must watch the Fireflow Reformer induction video, available in your booking confirmation email. This short video explains how to safely use the equipment and familiarises you with the studio's safety procedures.

Reformer Pilates equipment may only be used during supervised or authorised sessions. Members must follow all demonstrations, instructions and safety guidance at all times, whether delivered by an instructor in person or through Fireflow's screen-led classes.

Grip socks must be worn at all times while using the Reformer Pilates equipment.

Fireflow Studios reserves the right to refuse participation where it believes safety may be compromised.

15. Studio Etiquette

Members are expected to treat staff, instructors and fellow members with courtesy and respect at all times.

• Shoes must be removed before entering the studios and placed in the designated shoe storage.
• Mobile phones are not permitted in the Mat Studio.
• Mobile phones may be brought into the Reformer Studio but must remain on silent and must not be used during classes.
• Photography of filming inside the studios is not permitted without prior permission.
• Appropriate fitness clothing must be worn at all times.

·  Grip socks must be worn at all times while using the Reformer Pilates equipment.

Fireflow Studios reserves the right to refuse entry or participation where attendance may compromise the safety, wellbeing or enjoyment of others.

16. Use of Facilities & Equipment

Members agree to use all equipment safely and follow instructor guidance.

Equipment should be cleaned after use and returned to its designated place.

Any damage caused through misuse may be charged to the member.

17. Door Access & Studio Security

Fireflow Studios operates an integrated digital door access system through the Fireflow mobile app. Members are responsible for using their own access credentials and must not allow anyone else to enter the building using their access.

Screen-led Reformer classes are accessed using the same secure system for the safety and security of members.

Security cameras monitor entry points to help prevent unauthorised access and tailgating.

18. CCTV

CCTV operates at the studio entrance and within the Reformer Studio for the purposes of safety, security and crime prevention.

CCTV is not used in changing rooms, toilets or shower facilities.

19. Personal Belongings

Personal belongings remain the responsibility of the member.

Fireflow Studios accepts no responsibility for loss, theft or damage to personal property.

Cubby holes are provided for convenience only and should not be used to store valuables.

Lost property will be retained for up to 30 days where practicable before being donated, recycled or disposed of.

20. Workshops, Events & Retreats

Separate booking terms may apply to workshops, events and retreats.

Deposits and payments may be non-refundable unless otherwise stated.

21. Changes to Timetable

Fireflow Studios reserves the right to amend instructors, class times, studio temperatures and timetables where reasonably necessary.

22. Studio Closure

Temporary closures due to maintenance, adverse weather, public health requirements or other circumstances beyond our reasonable control shall not constitute a breach of these Terms.

Where possible, alternative classes or membership extensions may be offered at Fireflow Studios' discretion.

23. Suspension or Termination

Fireflow Studios reserves the right to suspend or terminate any membership where these Terms are breached or behaviour is abusive, threatening, unsafe or otherwise inappropriate.

24. Liability

Nothing in these Terms excludes liability for death or personal injury caused by negligence.

Subject to applicable law, Fireflow Studios shall not be liable for indirect or consequential losses arising from participation in classes or use of the facilities.

25. Privacy

Personal information will be processed in accordance with Fireflow Studios' Privacy Policy and applicable UK data protection legislation.

26. Use of Images

From time to time, Fireflow Studios may take photographs or videos for promotional purposes.

Members will always be given the opportunity to opt out before any identifiable images are used.

27. Privacy & Data Protection

Fireflow Studios is committed to protecting your personal information and processing it in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and any other applicable data protection legislation.

By purchasing a membership, class pass or attending any session, you acknowledge that Fireflow Studios will collect and process your personal information for purposes including managing memberships, processing payments, administering bookings, communicating with you about your account, ensuring your health and safety, and operating the studio.

Personal information will only be shared with trusted third-party service providers where necessary to deliver our services, including booking systems, payment providers, customer relationship management platforms and IT service providers. These providers are required to process your data securely and in accordance with applicable data protection laws.

Fireflow Studios will never sell your personal information to third parties.

Members have the right to request access to the personal information held about them, request correction of inaccurate information, request deletion where applicable, restrict or object to certain processing activities, and lodge a complaint with the Information Commissioner's Office (ICO).

28. Changes to These Terms

Fireflow Studios may amend these Terms & Conditions from time to time. The latest version will always be available on the Fireflow Studios website and booking platform.

29. Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
