Terms and Conditions for Fireflow Studios

1. Introduction

These Terms & Conditions govern the use of Fireflow Studios, including memberships, Class Passes, Drop-Ins, classes, workshops, events and studio facilities.

By purchasing a membership, Class Pass or Drop-In, booking or attending a class, or otherwise using Fireflow Studios' facilities or services, you agree to be bound by these Terms & Conditions.

Please read these Terms carefully before making a purchase or attending Fireflow Studios.

2. Memberships

All memberships are personal to the named member, non-transferable and may not be shared with another person.

Fireflow Studios offers the following membership options:

Unlimited – 12 Month Commitment

Provides unlimited access to eligible classes across both the Mat and Reformer Studios, including Yoga, Mat Pilates and instructor-led and screen-led Reformer Pilates.

This membership is subject to a minimum 12-month commitment and is paid monthly by Direct Debit.

The membership cannot normally be cancelled during the initial 12-month commitment period except in accordance with Fireflow Studios' Cancellation Policy or where required by law.

This membership includes one guest pass per calendar month and up to two membership freezes per calendar year, subject to the terms below.

Unlimited – Month by Month

Provides unlimited access to eligible classes across both the Mat and Reformer Studios, including Yoga, Mat Pilates and instructor-led and screen-led Reformer Pilates.

This membership is paid monthly by Direct Debit with no minimum commitment period.

It may be cancelled in accordance with Fireflow Studios' Cancellation Policy.

This membership includes one guest pass per calendar month and up to two membership freezes per calendar year, subject to the terms below.

Unlimited – Annual Upfront

Provides unlimited access to eligible classes across both the Mat and Reformer Studios, including Yoga, Mat Pilates and instructor-led and screen-led Reformer Pilates.

This membership is paid in full in advance and provides 12 months of membership from the applicable membership start date.

The upfront payment is non-refundable except where required by law or otherwise provided for within Fireflow Studios' Cancellation Policy.

This membership includes one guest pass per calendar month and up to two membership freezes per calendar year, subject to the terms below.

Mat Membership

Provides access to eligible Yoga and Mat Pilates classes within the Mat Studio.

The minimum term, payment arrangements, benefits and any restrictions applicable to the Mat Membership will be stated at the time of purchase.

Reformer Membership

Provides access to eligible instructor-led and screen-led Reformer Pilates classes within the Reformer Studio.

All Reformer safety and induction requirements set out in these Terms apply.

The minimum term, payment arrangements, benefits and any restrictions applicable to the Reformer Membership will be stated at the time of purchase.

Off-Peak Membership

Provides access to eligible classes across both the Mat and Reformer Studios during designated off-peak hours.

Current off-peak access times will be displayed within the membership description and booking platform.

Bookings outside the applicable off-peak hours are not included within this membership.

The minimum term, payment arrangements, benefits and any restrictions applicable to the Off-Peak Membership will be stated at the time of purchase.

Student Membership

Provides access to eligible classes across both the Mat and Reformer Studios during designated off-peak hours.

Student Membership is available to eligible students and valid student identification may be required when joining and during the membership period.

Current off-peak access times will be displayed within the membership description and booking platform.

Bookings outside the applicable off-peak hours are not included within the Student Membership.

The minimum term, payment arrangements, benefits and any restrictions applicable to the Student Membership will be stated at the time of purchase.

General Membership Terms

The classes, access times, benefits, restrictions, minimum commitment period and payment terms applicable to each membership are those displayed at the time of purchase.

Where a membership has a minimum commitment period, the member remains responsible for payments for that minimum period unless cancellation is permitted under Fireflow Studios' Cancellation Policy or required by law.

Memberships do not guarantee availability in any particular class. All classes remain subject to availability and must be booked in advance.

3. Class Passes & Drop-Ins

Class Passes are available separately for the Mat Studio and Reformer Studio.

Class Passes and Drop-Ins are personal, non-transferable and may not be shared with another person.

Class Passes must be used within the validity period stated at the time of purchase.

Any unused classes remaining after the expiry date will be forfeited and are non-refundable, subject to your statutory rights.

Drop-Ins provide access to the individual class purchased and do not include membership benefits.

Purchasing a Class Pass or Drop-In does not guarantee availability in any particular class. All classes must be booked in advance.

4. Age Restrictions

Members must be at least 16 years old to hold a membership or attend regular Fireflow classes independently.

Anyone under the age of 18 must have the consent of a parent or legal guardian.

Next Gen Yoga classes are available on a pay-as-you-go basis for ages 10+ and do not require a Fireflow membership.

Certain classes, services, workshops or events may have different or higher minimum age requirements. Any such restrictions will be stated at the time of booking.

5. Payments

Membership fees are collected by recurring Direct Debit or another approved recurring payment method unless otherwise stated at the time of purchase.

Members are responsible for ensuring that valid payment details are maintained.

Payments must be made when due.

If a payment fails or remains outstanding, Fireflow Studios may suspend membership access and prevent further bookings until the outstanding balance has been paid.

Repeated or unresolved payment failures may result in suspension or termination of the membership in accordance with the applicable membership terms.

Any outstanding balance remains payable following suspension or termination where payment is properly due under the membership agreement.

6. Membership Freezes

Membership freezes are available only where included with the membership purchased.

Eligible Unlimited Memberships may be frozen up to two times per calendar year.

Any freeze entitlement applicable to a Mat, Reformer, Off-Peak or Student Membership will be stated within the applicable membership description or membership terms.

Freeze requests must be submitted before the member's next billing date and are subject to any minimum or maximum freeze periods applicable to the membership.

Membership access and associated benefits will be suspended for the duration of an approved freeze.

A membership freeze does not constitute cancellation of a membership or remove any applicable minimum commitment period.

7. Guest Passes

Eligible Unlimited Memberships include one guest pass per calendar month.

Guest passes are subject to class availability and any restrictions applicable to the membership.

Unused guest passes cannot be carried forward, transferred or exchanged for cash or credit.

Guest passes may be restricted to first-time visitors where stated.

Guests must complete any required registration, health declaration or waiver before participating.

Guests attending Reformer Pilates must comply with all applicable Reformer safety and induction requirements.

Fireflow Studios reserves the right to make reasonable changes to guest pass arrangements where necessary.

8. Class Bookings

All classes must be booked in advance through the Fireflow Studios website, mobile app or approved booking system.

Places are subject to availability and are allocated on a first-come, first-served basis.

Members are responsible for booking the correct class and ensuring that their membership, Class Pass or Drop-In is valid for that class.

Members should arrive with sufficient time to prepare before the class begins.

A membership or Class Pass does not guarantee a place in any particular class.

9. Waitlists

Where a class is full, members may be able to join a waitlist.

If a place becomes available, the booking system may automatically add the next eligible member to the class and issue a notification.

Members are responsible for monitoring their bookings and notifications when joining a waitlist.

Once a waitlisted place has been confirmed, the normal class cancellation policy applies.

10. Class Cancellations & No-Shows

Classes must be cancelled within the cancellation period stated within the booking system or applicable membership or Class Pass terms.

Late cancellations and no-shows may result in a fee, deduction of the class from a Class Pass or temporary booking restrictions.

Repeated late cancellations or no-shows may result in additional booking restrictions where reasonably necessary to protect class availability for other members.

Any applicable cancellation period and late cancellation or no-show consequences will be displayed through the booking system.

11. Late Arrival

Members should arrive in sufficient time to prepare for their class.

For the safety and enjoyment of all participants and to avoid disruption once a session has begun, entry may be refused after the class start time.

Where entry is refused because of late arrival, no refund or class credit will be provided.

12. Health & Safety

Members are responsible for ensuring that they are physically able to participate safely in the classes they book.

A Physical Activity Readiness Questionnaire (PAR-Q) and/or applicable health declaration must be completed before attending your first class.

Members are responsible for ensuring that all health information provided to Fireflow Studios is accurate and up to date.

You must notify Fireflow Studios of any relevant change to your health, medical condition, injury, medication or pregnancy which may affect your ability to exercise safely.

Any relevant medical condition, injury or pregnancy should also be brought to the attention of the instructor before participating in a class.

If you are unsure whether a particular form of exercise is suitable for you, you should seek appropriate medical advice before participating.

Members must follow all reasonable instructions and safety guidance provided by Fireflow Studios and its instructors.

13. Illness

Members should not attend Fireflow Studios if they are experiencing symptoms of a contagious illness where their attendance may place other members, instructors or staff at risk.

Fireflow Studios reserves the right to refuse participation or ask a member to leave where it reasonably believes their attendance may pose a health or safety risk to others.

14. Heated Classes

Fireflow's Fire classes are heated to approximately 30°C.

Members should arrive appropriately hydrated and continue to hydrate following their class.

Heated exercise places additional demands on the body and members should listen to their body throughout the session.

If you feel dizzy, faint, unwell or otherwise unable to continue safely, you should stop exercising and inform the instructor.

Participation in heated classes is voluntary.

If you are unsure whether heated exercise is suitable for you, you should seek medical advice before participating.

15. Reformer Pilates

Before attending your first Reformer Pilates class, you must watch the Fireflow Reformer Induction Video provided through your booking confirmation email.

The video explains the safe use of the Reformer equipment and introduces important studio and safety procedures.

Before attending your first screen-led Reformer class, you must also complete a short in-person induction at Fireflow Studios.

Your first screen-led Reformer class must be booked during the following staffed induction hours:

Monday–Friday: 9:00am–7:00pm

Saturday–Sunday: 8:00am–12:00pm

Please arrive at least 15 minutes before your first screen-led class so that a member of the Fireflow team can complete your induction.

During the induction, you will be shown how to safely set up and use the Reformer, including how to adjust the springs and other equipment.

Once your in-person induction has been completed, you may book eligible screen-led Reformer classes at other available times in accordance with your membership, Class Pass or Drop-In.

Reformer equipment may only be used during authorised Fireflow sessions.

Members must follow all demonstrations, instructions and safety guidance whether provided by an instructor in person or through a Fireflow screen-led class.

Grip socks must be worn at all times when using Reformer equipment.

Fireflow Studios reserves the right to refuse participation where the required induction has not been completed or where Fireflow reasonably believes participation may compromise the safety of the participant or others.

16. Studio Etiquette

Members and guests are expected to treat Fireflow staff, instructors and fellow members with courtesy and respect at all times.

Shoes must be removed before entering the studios and placed in the designated shoe storage.

Mobile phones are not permitted in the Mat Studio.

Mobile phones may be brought into the Reformer Studio but must remain on silent and must not be used during classes.

Photography or filming inside either studio is not permitted without prior permission from Fireflow Studios.

Appropriate fitness clothing must be worn.

Grip socks must be worn when using Reformer equipment.

Members are expected to remain for the full duration of a class wherever reasonably possible.

If you know that you may need to leave a class early, for example because you are on call, please inform the instructor before the class begins.

Fireflow Studios reserves the right to refuse entry or participation where behaviour may compromise the safety, wellbeing or reasonable enjoyment of staff, instructors or other members.

17. Use of Facilities & Equipment

All equipment must be used safely and only for its intended purpose.

Members must follow all instructions relating to the use of studio equipment.

Equipment must be cleaned after use where requested and returned to its designated place.

Members must not adjust, dismantle or use equipment in a manner contrary to Fireflow Studios' instructions.

Damage caused deliberately or through misuse may be charged to the person responsible where appropriate.

18. Door Access & Studio Security

Fireflow Studios operates a digital door access system through the Fireflow mobile app or another approved access system.

Access credentials are personal to the member and must not be shared.

Members must not knowingly allow another person to enter Fireflow Studios using their personal access credentials.

Members must not allow unauthorised persons to follow them into secure areas of the studio.

Access to the Reformer Studio may also be controlled through the digital access system.

Security cameras may monitor entry points to support member safety, studio security and the prevention of unauthorised access or tailgating.

19. CCTV

CCTV operates at the studio entrance and within the Reformer Studio for safety, security and crime prevention purposes.

CCTV within the Reformer Studio may also be used to support the safe operation of authorised screen-led Reformer sessions.

CCTV is not used in changing rooms, toilets or shower facilities.

CCTV footage and associated personal data will be handled in accordance with Fireflow Studios' Privacy Policy and applicable data protection legislation.

20. Changing Rooms & Facilities

Changing rooms, showers, toilets and other studio facilities are provided for members and guests attending Fireflow Studios.

Members are expected to leave these facilities clean and tidy after use.

Personal items must not be left in changing rooms or other shared areas after leaving the studio.

For privacy and safeguarding reasons, photography and filming are strictly prohibited within changing rooms, toilets and shower areas.

21. Personal Belongings

Personal belongings remain the responsibility of the member or guest.

Fireflow Studios does not accept responsibility for loss, theft or damage to personal belongings except where liability cannot legally be excluded.

Cubby holes and other storage areas are provided for convenience only and members should avoid bringing unnecessary valuables into the studio.

Lost property will normally be retained for up to 30 days where practicable, after which it may be donated, recycled or disposed of.

22. Workshops, Events & Retreats

Separate booking, payment and cancellation terms may apply to workshops, events, retreats and other special sessions.

Any additional terms will be provided at the time of booking.

Deposits or payments may be non-refundable where this is clearly stated at the time of purchase, subject to applicable consumer rights.

23. Changes to Classes & Timetable

Fireflow Studios may make reasonable changes to instructors, class times, class formats, studio temperatures and timetables.

Where reasonably necessary, Fireflow Studios may cancel or reschedule a class.

Where Fireflow Studios cancels a class, any applicable booking credit or Class Pass entitlement will be restored where appropriate.

24. Studio Closure

Fireflow Studios may occasionally need to close all or part of the studio due to maintenance, repairs, adverse weather, health and safety requirements, public health requirements or circumstances outside its reasonable control.

Where reasonably possible, Fireflow Studios will provide advance notice of planned closures.

Where appropriate, alternative classes, credits or membership extensions may be offered depending on the circumstances and duration of the closure.

25. Suspension or Termination

Fireflow Studios reserves the right to suspend access or terminate a membership where a member:

• seriously or repeatedly breaches these Terms;
• fails to make required payments;
• behaves in an abusive, threatening, discriminatory or harassing manner;
• deliberately damages studio property or equipment;
• allows unauthorised access to the premises;
• repeatedly disregards safety instructions; or
• otherwise behaves in a way that reasonably compromises the safety or wellbeing of staff, instructors, members or guests.

Any suspension or termination will be handled reasonably and having regard to the circumstances.

26. Liability

Nothing in these Terms excludes or limits Fireflow Studios' liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability which cannot lawfully be excluded or limited.

Members are responsible for following instructions, using equipment appropriately and providing accurate information about relevant health conditions.

Subject to applicable law, Fireflow Studios will not be responsible for indirect or consequential losses arising from participation in classes or use of studio facilities.

27. Privacy & Data Protection

Fireflow Studios is committed to protecting your personal information.

Personal data is processed in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and other applicable data protection legislation.

Personal information collected in connection with memberships, bookings, payments, studio access, CCTV and use of Fireflow Studios will be processed in accordance with our Privacy Policy.

Our Privacy Policy explains what personal information we collect, how and why we use it, who it may be shared with, how long it is retained and your rights in relation to your personal information.

By using Fireflow Studios' services, you acknowledge that you have been provided with access to our Privacy Policy.

28. Photography & Filming

From time to time Fireflow Studios may take photographs or videos for marketing, social media or other promotional purposes.

Where individuals are identifiable, members will be given an appropriate opportunity to opt out of promotional photography or filming.

Members and guests must not photograph or film other participants without their permission.

Photography and filming are strictly prohibited within changing rooms, toilets and shower facilities.

29. Changes to These Terms

Fireflow Studios may amend these Terms & Conditions from time to time.

Where a change materially affects an existing membership, Fireflow Studios will provide reasonable notice where appropriate.

The latest version of these Terms & Conditions will be available on the Fireflow Studios website and/or booking platform.

30. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Nothing in these Terms affects any statutory rights you may have as a consumer.

Any dispute will be subject to the jurisdiction of the courts of England and Wales, subject to any rights you may have under applicable consumer law.
